Frequently asked questions

Getting started

Is there a free tier?

Yes — the Free plan is free forever. You get up to 50 active students and 5 classes. No card required, no trial countdown. When you need more, you can upgrade to Essential (£10/mo) for up to 150 students and 15 classes.

Do I need to install anything?

No. Adminished is a web app — it works in any modern browser on a phone, tablet or computer. Coaches can add it to their home screen for quick access. It also works offline for attendance once the page has loaded.

Can I import my existing student list?

Yes. From the Students page, use the "Import from CSV" link. Download the template, fill in your students, and upload — they'll appear in the system immediately.

How long does setup take?

Most coaches are up and running in under 15 minutes. Add your club name, create a class or two, and share your join link with parents. The system does the rest.

What are the plans?

Free — 50 students, 5 classes. Free forever, no card needed.
Essential — £10/mo. 150 students, 15 classes, wallets & payment requests.
Pro — £25/mo. Unlimited everything. E-signing, compliance tools, priority support.

What happens if I go over my plan limits?

You keep all your data — you just can't add new students or classes beyond your plan limit. Existing records are never deleted. Upgrade any time from Settings → Plan.

Can I cancel at any time?

Yes. Cancel from Settings → Plan. Your subscription ends at the end of the current billing period and your account reverts to the Free plan — no data is deleted.

Do you offer discounts for charities or community groups?

Yes — email us at [email protected] with your charity number and we'll sort you out.

Parents & students

How do parents join?

Share your club's join link (adminished.com/join/YOUR-CODE) or just the join code shown on your Dashboard. Parents open the link, see your active classes, and click "Join" to create an account. Once registered they can view their child's attendance, schedule and payment history.

Can parents pay through Adminished?

Yes. Connect your Stripe account in Settings → Payments and you can send parents payment requests that they settle by card via a secure Stripe Checkout link. You can also record cash or bank transfer payments manually.

Is the parent portal GDPR compliant?

Yes. Adminished is operated by a UK company, ICO registered. We process personal data only as your data processor. See our Privacy policy for full details.

Can parents notify me when their child won't attend?

Yes — the absence notification feature is built in. Each upcoming session card in the parent portal has a Won't attend button. When a parent taps it, you receive an email immediately with the student's name, class and date. The Today view then shows a pre-absent pill on that class card so you know the expected turnout before the session starts. Parents can also cancel the report if plans change. What does the "pre-absent" badge mean on the Today view?

It means one or more parents have already told you their child won't be at that session. The number shows how many students are reported as absent before the class even starts — useful for deciding whether to run a session or rearrange equipment. The badge disappears for sessions in the past.

Classes, rooms & venues

Can I run multiple classes?

Yes — create as many classes as your plan allows. Each class has its own student list, schedule, attendance history and payment settings.

What are rooms used for?

Rooms let you assign a physical space (e.g. "Main Hall", "Studio A") to each weekly slot. Adminished prevents double-booking — if a room is already in use at that time, it blocks the second assignment and shows a conflict warning.

What are venues?

Venues store full location info for each place your club meets — address, map pin, disabled access, parking, AED location, and the nearest hospital, defibrillator and police station with distances. Safety info is always at hand for coaches and can be shared with parents.

What are venue bookings?

Venue bookings track your fixed-term hall or pitch hire contracts — 10-week school-term blocks, quarterly agreements or annual leases. Adminished calculates the expiry date from your start date and period, shows a 30-day warning before renewal is due, and lets you renew with one click. You'll never lose your slot because the renewal date crept past unnoticed. See the venue bookings help page for step-by-step setup.

How do I get alerted before my venue booking expires?

As soon as you add a venue booking, Adminished tracks the expiry date automatically. When the expiry is 30 days away or less, the booking turns amber on your Venue Bookings list and a warning card appears on your dashboard. If the booking has already expired, it turns red. Hit Renew booking on the detail page to extend by one period.

Can I run a camp or one-off event?

Yes — use the Events section. Events can be single-day or multi-day with multiple occurrences (e.g. a dress rehearsal + two show dates). Each event has its own ticket types, sign-up list, and booking management. Events appear on the calendar automatically.

How do interest lists work?

Create an interest list for a class or session you're thinking of running. Share the public link and let people register their interest. Set a threshold (e.g. 10 people) — once you've hit it, you can launch the class and notify everyone on the list automatically.

Can I give my club a public web page?

Yes — every club can have a free public profile page at adminished.com/clubs/your-slug. It shows your weekly class schedule, upcoming events, a description of your club, and a join button so new members can find you and sign up without you having to chase them manually. Set it up in Settings → Public club page — add a slug, tagline and a short bio, then tick "Enable public page". Your page is automatically added to the Adminished sitemap so search engines pick it up. See the public club page help for step-by-step setup.

Attendance

How does the kiosk / self check-in work?

Open Attendance → Kiosk on any device at your venue. Students tap their name to check themselves in — no login required. You can also mark attendance manually from the register view. All attendance is stored and exportable.

Can a parent take the register for me?

Yes — use the Register helpers feature. Go to Settings → Register helpers and click Grant next to any registered parent. They'll see a Take register → button on their parent portal dashboard, which takes them straight to the attendance kiosk for any class running today. Helpers cannot access student records, payments, or any other coach pages. Remove the permission any time from the same settings page. See the register helpers help page for details.

Can I track my club's equipment?

Yes — the Equipment section (in the nav bar) lets you log your kit inventory with name, category, total quantity and condition. You can assign items to a room, an event, or general use, then mark them returned when they come back. The list shows Total / Assigned / Available for every item so you can spot gaps before a session. The Available count turns red when stock hits zero. Can I see today's schedule at a glance?

Yes — the Today view (Dashboard → Today) shows every class scheduled for the day with its time, room, enrolment count and live check-in progress. Tap any class to go straight to the register.
